Lexa Studio Terms & Conditions

These terms apply to studio hire for photography, video, podcasts, content creation and approved workshops. Events and parties require a separate agreement.

Bookings and payment

  • The person booking must be at least 18 and authorised to book for any business they represent. Full payment is required when booking. Your booking is confirmed when we accept it in writing.

  • Your confirmation sets out the space, times, approved use, attendee limit, included equipment, total price including applicable GST, and any special conditions.

  • By accepting online, signing, confirming by email or paying after receiving these terms, you agree to them. Changes to a confirmed booking require written agreement.

General rules

  • Treat the studio, furniture, props and equipment with care. Lift furniture rather than dragging it, and return everything to its original position.

  • Leave the studio tidy, remove rubbish and personal items, clean spills and food areas, and follow our shutdown and lock-up instructions.

  • If extra cleaning or resetting is needed, a charge of up to $300 may apply, limited to reasonable costs actually incurred. Exceptional cleaning costs beyond $300 must be evidenced; the same work will not be charged twice.

  • Keep noise reasonable, respect neighbours, and do not block shared access, parking areas or emergency exits. Parking is only limited to Lexa Studio allocated parking spots (maximum of 2 cars).

Scheduling and overtime

  • Loading, unloading, setup, pack-down and cleaning must all take place within your booked time. Early access or extensions need approval and depend on availability.

  • Unless a different rate is agreed before booking, overtime is charged at 150% of your booked hourly rate, in 30-minute increments rounded up. Leaving early does not itself entitle you to a refund.

Damage and saved card authorisation

  • You are responsible for damage, stains, breakages or missing items caused by you, your crew or guests. Charges are limited to reasonable repair or equivalent replacement costs and exclude fair wear and any contribution by us.

  • Report damage, faults and incidents promptly. Do not attempt repairs yourself. We will provide an itemised explanation and supporting evidence for charges.

  • We do not take a security bond. Saving a card is separate from paying for your booking. We may securely save your card on file through Wix and Stripe and charge properly payable damage, missing item, extra cleaning or overtime costs for that booking.

  • The cardholder must separately agree to saving and charging the card, using the checkout authorisation or a signed authorisation. Accepting these terms or making a booking payment alone does not authorise later charges.

  • Before charging, we will email an itemised amount and supporting photos, quotes or invoices, with at least seven days to respond. Charges follow the rates and reasonable-cost rules in these terms. If you dispute a charge within that time, we will pause collection of the disputed amount while reviewing it and discussing a resolution.

Studio use and responsibilities

Cancellations and rescheduling

  • Change-of-mind cancellations do not ordinarily receive a refund, subject to the reasonable-loss limit below and your rights under Australian Consumer Law.

  • You may reschedule once by requesting it in writing at least 48 hours before the original start time. The replacement booking must take place within 30 days of the original booking date, subject to availability. Any higher hire price must be paid.

  • With less than 48 hours’ notice, no rescheduling or credit is ordinarily available

  • Any amount retained for cancellation or non-attendance must not exceed our reasonable loss after savings and replacement bookings.

Equipment and cyclorama

  • Use equipment safely, for its intended purpose and only if competent to operate it. Do not overload power points or alter sets, walls or electrical installations without approval.

  • Keep the cyclorama clean. Remove or protect marking footwear, and do not climb or place weight on curved sections. Repainting charges apply only to reasonable restoration beyond normal use and minor scuffs.

  • Obtain written approval for special effects, flames, haze, smoke, liquids, powders, glitter, confetti, suspended loads, heavy equipment or vehicles. Approval does not permit unsafe or unlawful activity.

Permitted use and safety

  • Use the studio only for the approved, lawful purpose. Illegal activity, illegal drugs, hazardous materials and weapons are prohibited. Replica weapons require prior written approval.

  • Explicit or pornographic content, discriminatory content, and content promoting violence or hate are not permitted.

  • Stay within the approved capacity. Supervise children under 16 directly. Animals require approval, except lawful assistance animals. Alcohol requires approval and compliance with liquor laws. Indoor smoking and vaping are prohibited.

  • Follow reasonable safety and emergency directions, keep exits clear and secure cables. We may enter for emergencies, safety or necessary inspections, giving notice where practicable.

Content insurance and liability

  • You retain your rights in content created during hire and are responsible for file backups. We need separate written consent to use identifiable client content for promotion. Both parties must protect non-public production information, subject to necessary lawful disclosures.

  • Arrange insurance appropriate to your activities and equipment. Any specific cover requirement will be disclosed before booking. Our insurance does not necessarily cover you.

  • Nothing excludes rights or remedies under Australian Consumer Law or other laws that cannot be excluded. Personal property and vehicles remain your responsibility except to that extent or as required by law.

Ending bookings and resolving issues

  • We may stop unsafe activity or end hire for serious breaches, unlawful conduct or immediate risks. Where practicable, we will give you an opportunity to fix a breach. Any fee retained must reflect lawful, reasonable loss; illegal activity may be reported to authorities.

  • If we cannot provide the studio, we will offer an agreed alternative or refund fees for services not supplied. Lexa Studio is not liable for loss of income, revenue, profit, contracts, business opportunities or business interruption arising from a booking, cancellation, delay or inability to use the studio, whether the loss is direct or indirect.

Lexa Studio privacy policy

This policy explains how Lexa Studio Pty Ltd handles personal information about clients, booking contacts and visitors. It applies to our bookings, enquiries, services and any security monitoring.

1 Information we collect

We collect names, contact and business details, booking and billing information, correspondence and, where necessary, identity, emergency contact and insurance details. Where CCTV operates, we may collect images of people attending the premises. We collect information directly from you, from a person arranging a booking for you, and from booking or payment platforms used for our services. Wix and Stripe process card information and saved payment credentials. We keep authorisation records and relevant billing details; we do not ask you to email card numbers or security codes.

Please provide only information needed for your booking and ensure you are authorised to provide another person’s details. If required contact, payment or safety information is not supplied, we may be unable to confirm or provide the booking. You may make general enquiries without identifying yourself where practicable.

2 How we use and share information

We use information to manage enquiries and bookings, process payments, provide support, verify access where needed, manage safety and security, investigate incidents, improve services and meet legal obligations. We do not sell personal information.

We may share information where reasonably necessary with booking, payment, IT and other service providers, insurers, professional advisers, building management, emergency services and authorities, or with your consent. We limit disclosures to their purpose and take reasonable steps to protect information handled on our behalf.

3 CCTV and client content

Where CCTV is used, it is for safety, security, incident investigation and related insurance or legal purposes. We will identify monitored areas and will not operate cameras in toilets, changing rooms or other areas where privacy is reasonably expected. Access to recordings is restricted and disclosure is limited to legitimate purposes or legal requirements.

Security footage is not used for marketing. We seek separate written permission before using identifiable client photographs, recordings or production content for promotion. Marketing permission is optional and may be withdrawn for future use by contacting us, subject to material already published where withdrawal is not reasonably practicable.

4 Storage retention and overseas services

We use reasonable physical, technical and organisational safeguards to prevent misuse, loss and unauthorised access or disclosure. Information is kept only as long as reasonably needed for its purpose or legal obligations, then securely deleted or de-identified where practicable.

5 Access corrections and complaints

For privacy enquiries, access or correction requests, withdrawal of marketing permission or future saved-card authorisation or complaints, contact Lexa Studio using the contact details in your booking confirmation. We may reasonably verify your identity. We will respond within a reasonable time, aiming to address complaints within 30 days, and explain any lawful refusal of access or correction.

6 Policy updates

We may update this policy to reflect our practices or legal requirements and will identify the current version date. Changes to confirmed hire terms require agreement. This policy does not itself authorise unrelated uses of your information.
